Have it as a minimum donation to the e-goat charity fund rather than a non returnable deposit. As treasurer, trust me that the charity pot will in no way be touched to fund this event, not even on a temporary basis. If we don't think we have enough interest to host it, with deposits, then it is unlikely to go ahead.
There is however, very little to say right now because it is in the very early planning stages.

Security would probably prevent us giving the location details to anybody who is not already an established e-goat poster. We can't have any old Tom, Dick or Harry joining up to get details of where the meet is being held.
 
Just out of curiosity (well i am a woman!) How are you going to judge who is an established goater? For instance bigbadrigger has been a member since 2005 but only has 20 odd posts (sorry bigbadrigger, not meaning to single you out, your just an example) :PDT_Xtremez_28:
